Privacy notice

This notice describes the personal information this website actually collects. It is written for enquiries from Australian businesses. It is not a claim about corporate registration or a physical office.

Who to contact

Privacy questions and deletion requests can be sent to projects@bolana-erp.com. Include the enquiry reference if you have one.

What we collect

The project form asks for your name, business name, email address, and a description of the work. Phone, Australian state or territory, website, and an indicative budget are optional. We also store the time of the enquiry, the reference number, your consent, and, for abuse prevention, the IP address and browser type.

If an administrator later creates a payment link for an approved invoice, PayPal processes the payment. We store the amount, currency, description, PayPal order and capture references, status, and the payer email PayPal returns. We do not collect or store card numbers.

Admin notes are written by staff after an enquiry arrives. They are not published.

Why we collect it

  • To read and reply to your enquiry.
  • To decide whether a consultation or quotation is the right next step.
  • To keep a record of the conversation if a project proceeds.
  • To protect the form and the admin desk from abuse.
  • To reconcile an approved invoice if you are sent a payment link.

Email

A valid enquiry is emailed to the project inbox, projects@bolana-erp.com, using SMTP. The message is sent from our own address. Your email is used only as the reply address. If delivery fails, the enquiry stays in the database and you are told how to reach us directly. A short confirmation can also be sent to you.

Who can see it

Enquiry records are available to signed-in Bolana Digital administrators. We do not sell personal information. A payment, if you choose to make one, is also processed by PayPal under its own terms.

Cookies

The site uses a necessary session cookie so the enquiry form can be protected and so administrators can stay signed in. It is not used for advertising. Public pages also load Google tag GT-NM2DG86D. Google may receive the page address, a rough location taken from the IP address, and browser or device details so we can see how the site is used. The tag is not loaded on the admin desk, and the words you type into an enquiry are not sent to Google by this website.

How long we keep it

Open enquiries are kept while they are being handled. Enquiries marked won or lost are kept for the retention period set in the admin desk, which defaults to 24 months after the record was last updated and cannot be set below 6 months. After that, a maintenance task removes the name, business name, contact details, free-text project notes, and technical identifiers. Status and project type can remain so historical counts still make sense. You can ask for earlier deletion by email. Records needed for an active project, a payment reconciliation, or a legal obligation may be kept for that purpose and then removed.

Access and correction

Email us if you want a copy of the enquiry we hold, or if something in it is wrong. We will need enough detail to find the right record without exposing someone else’s enquiry. Reference numbers in a browser confirmation are not a login.

Australian privacy practice

The enquiry service is intended for Australian businesses, so we handle personal information with the Australian Privacy Principles in mind: collect what the form needs, use it to respond, keep it limited, and delete or anonymise it when the retention period ends. This notice is the description of this website’s practice. It does not assert a particular corporate registration.
